Part-time Receptionist

We are looking for a part-time receptionist to join our growing Administrative Team!

FORM Body Lab is a registered healthcare facility offering Physiotherapy, Pilates, and RMT. Our serene studio and clinic in Yaletown is preparing for the cooler months, and is looking for bright and polished superstars to join our reception team!

This is a great opportunity to build your administrative experience and take on more responsibilities as you grow with the business.

HOURS:
Do you have flexible, part-time availability?

We currently have a variety of shifts available Monday – Saturday. Shifts are usually 5-7 hours each. Closed Sundays and Stat Holidays!

DUTIES:
Our reception team supports a team of well-trained and committed professionals to maintain the highest level of client satisfaction in a compassionate, professional and friendly work environment. this is a dynamic role that is based on anticipating and responding to the individual needs of both our clients and staff, primarily:

-Greeting, liaising and building warm relationships with clients and staff
-Ensuring the studio looks, sounds and smells great!
-Coordinating schedules and appointments, and processing payments
-Setting up, packing down, and opening and closing procedures

Physiotherapist

Form Body Lab is looking for a skilled and collaborative Physiotherapist to join our multidisciplinary team!

Form Body Lab is a holistic clinic with a focus on integrated care. We are a highly educated team of Physiotherapists, Pilates instructors and RMTs who work together to provide an elevated, full-spectrum approach to client care.

Our ideal candidate will have a keen interest in working collaboratively with our team of Pilates instructors and RMTs, and a strong belief in the benefits of Pilates in rehabilitative, interventional and prevention-based therapy. Acupuncture/IMS certification and/or Pilates certification/experience are both great assets for this position.

As vital members of the Form Body Lab team, our Physiotherapists are primarily responsible for providing consistent, comprehensive and the highest standard of care to our clinical clients, including:

  • Meeting and assessing patients,
  • Developing and implementing goal-oriented treatment plans
  • Providing ongoing evaluation and guidance
  • Keeping meticulous client records
  • Continuing self-education

As the Studio Manager, you will play a crucial role in coordinating and managing the activities of our studio to ensure excellence and efficiency. Reports To: Business Owner

 

Responsibilities:

  • Coordinate work assignments, scheduling shifts, and managing time off requests
  • Oversee client schedules and ensure smooth operations
  • Set priorities and delegate work to ensure optimal productivity
  • Work closely with the Studio Owner to maintain high standards and implement positive changes
  • Determine admin staffing requirements and oversee the hiring process
  • Evaluate policies and procedures to recommend improvements for enhanced efficiency
  • Provide leadership and foster a culture of success and achievement
  • Conduct workplace inspections to ensure a top-quality studio environment
  • Handle employee complaints and incidents, including conflict resolution
  • Ensure compliance with company policies, procedures, and ethical standards
  • Conduct weekly reporting on operations and morale to the Studio Owner
  • Plan and conduct meetings with team members to communicate goals and projects
  • Manage new employee onboarding and training process
  • Monitor admin employee performance, provide feedback, and offer coaching as needed
  • Maintain shift schedules and vacation coverage
  • Oversee project/task management to ensure excellent results
  • Manage client relations, handle complaints, and ensure exceptional customer service
  • Analyze departmental operations and identify areas for improvement
  • Act as the first responder for daily operations, filling in as needed

 

Requirements:

  • Proven experience in a leadership or management role, preferably in a studio or similar setting
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Ability to resolve conflicts and handle employee relations effectively
  • In-depth knowledge of health and safety regulations
  • Proficient in evaluating policies and procedures for process improvement
  • Familiarity with project/task management practices
  • Demonstrated ability to lead and motivate a team
  • Strong problem-solving skills and the ability to initiate positive change
  • Detail-oriented with the ability to multitask and prioritize effectively
  • Proficient in Microsoft Office Suite and other relevant software
  • Experience in policy drafting and development
  • Ability to take minutes and disseminate important information
  • Flexible availability for work-from-home (WFH) and office hours
